Terms and Conditions

By accessing this website you consent to the following terms and conditions of use. These terms and conditions apply to all contracts between you and us. In these terms and conditions ‘SLM’ or ‘South Lytchett Manor’ means South Lytchett Manor Caravan and Camping Park Ltd. ‘This website’ includes www.www.southlytchettmanor.co.uk and https://southlytchettmanor.uk/booking/?site_name=lytchett.

Terms and Conditions

South Lytchett Manor Caravan and Camping Park Ltd is a holiday touring park solely for caravans/trailer, tents/tents/motor caravans or Dorset glamping holidays in the Romany Caravans, Shepherd Huts, Star-gazing Yurts or Glamping Pods based onsite. Guests must be bonafide holidaymakers and stay for holiday purposes only. Our guests’ enjoyment and safety is paramount and therefore we ask you to read the following Terms and Conditions before booking.

We reserve the right to ask guests who contravene these Terms and Conditions or, who in any other way are behaving in a manner likely to cause distress or nuisance to other visitors, to leave the park immediately with no refund. In these circumstances the holiday ceases and we shall not be liable for any extra costs incurred by you.

Access Statement and policy

We seek to provide the very best service to all our guests and have a specially prepared Access Statement available which describes the facilities we have to offer on the park. This is available on our website, and in reception, large print copies are available.

Booking conditions

We cater for families and couples, and pride ourselves with providing a friendly atmosphere for all our guests. Please be aware we do not accept bookings from Hen and/or Stag parties. Parties of three or more persons would require prior authorisation from ourselves. We reserve the right to refuse or cancel bookings (without refund) from:

  • Hen/Stag or other parties that will disrupt our guests
  • Persons under the age of 21
  • Anyone who is abusive to our team either before or during the holiday

The person who makes the booking warrants that the party will not exceed the numbers stated on the booking.

This Contract

This contract is with South Lytchett Manor Caravan and Camping Park Ltd. Please check your confirmation carefully to see that it reflects your wishes. Please inform us of any discrepancy or queries relating to terms and conditions within 24 hours of receipt.  The terms contained in this contract do not affect your statutory rights.

The Price of the Holiday

Once you have made your booking and paid a non-refundable deposit of £50, or the price of your holiday is less than £50, the charges relating to that holiday will not be subject to any change unless the rate of VAT increases.

The balance of the price of your holiday must be paid at least 28 days prior to your arrival date. If the balance is not paid in time then we are entitled to cancel the holiday and retain your deposit. However, every effort will be made to contact you before cancellation.

Weather

Sadly, we are unable to take responsibility for adverse weather conditions and cannot offer refunds if you are unable to travel. Please see our cancellation policy for our cancellation charges. If we choose to close the park due to extreme weather conditions for the safety of our guests and team, we will do our best to move your booking to an alternative date within the same year.

South Lytchett Manor does not accept responsibility for any damage to tents, awnings and vehicles due to adverse weather conditions.

Events outside of our control

Sadly, we cannot take responsibility or pay compensation for any failure to perform any of our obligations under these Terms and Conditions caused by an Event Outside Our Control.

Changing or cancelling the Holiday by you

We know that things don’t always go to plan – therefore if you decide to change your booking, we’ll try our best to meet your needs. If you need to change your dates, or pitch type please call us 21 days or more before your arrival date. This will be subject to availability and will incur a £25 admin fee. Sadly, we are unable to make any changes within 21 days or less of your arrival date.

When we amend your booking to make the change, the booking will be repriced to reflect the current prices and availability.

If the changes you need aren’t possible, and you don’t want to keep to your original booking; this will be classed as a cancellation and will fall in line with our cancellation policy.

Cancellations: You may cancel your holiday at any time. Cancellation will be effective on the date it is received by us. However, cancellation charges are payable as follows. Deposits are non-refundable.

More than 28 days before arrival          £50 deposit or the total price of your stay if less than £50

28 to 7 days before arrival                         70% of total holiday excluding deposit

7 days and under before arrival              100% of holiday cost

Please ensure you have suitable insurance to cover cancellation or financial loss.

Cutting your holiday short

We hope you’ll be having such a great stay with us, you don’t want to leave. But if you do end up going home early, we won’t be able to offer you a refund, or credit note for any nights lost.

Change or cancellation of the Holiday by us

If we are unable to provide the booked holiday and have to cancel before the holiday is due to start, you are entitled to a full refund of the money you have paid.

Holiday Insurance

We strongly advise you take advantage of UK holiday insurance to cover your booking; just in case you are not able to make your holiday for any reason.

No show

If you fail to arrive on your due date and have not contacted us by 11am on the day after your arrival date we will cancel your booking and reserve the right to resell your pitch. No refunds or date changes will be offered in these circumstances. However, every effort will be made to contact you before cancellation.

Arrival and Departure

The earliest arrival time for touring and camping pitches is 12noon, Glamping units are 3pm.  For arrivals after 5pm, please call the park on 01202 622577 so we can make a late arrival arrangement for you.

All pitches including Glamping options must be vacated by 11am on the day of departure. Enquiries about early arrival/late departure must be made directly to the park. Additional charges may apply.

Late Check Outs

If available, guests are welcome to book a late check out on our Touring and Camping bookings during low and mid-season only; excluding bank holidays. A fee applies and this can only be booked the day before departure, over the phone or in person at our Park Reception. This is based on availability at the time of enquiry.

Special Requests

Guests are welcome to request a certain pitch or area of the park, and we will do our best to accommodate your needs. It must, however, be clearly understood that acceptance of a booking is not conditional on the allocation of a particular pitch (any guarantees must be in writing by us).

Holiday Behaviour Standards and Termination

By making a booking with us you have entered a contract in which you undertake, on behalf of yourself and the people in your party (including children), to adopt the following standards of behaviour:

  • To act in a courteous and considerate manner towards us, our Team Members and other guests.
  • To supervise children properly so that they are not a nuisance or danger to themselves or others

You further agree that you will not:

  • commit any criminal offence on the Park or undertake any criminal activity
  • commit any acts of vandalism or nuisance
  • keep or carry any firearm or any other weapon on the Park
  • use any unlawful drugs
  • create any undue noise or disturbance
  • carry on any trade or business whilst on the Park.

Fires and BBQs

There is strictly no burning of wood or any type of fire pit or open fire on our park; including log burners, fire baskets or Chinese lanterns. Anyone breaking this rule will be asked to leave the Park immediately with no refund due.

Disposable BBQs must be raised off the ground and in accordance with any instructions we give you. Bricks to raise these can be found within our bin bays located across the park.

When camping or caravanning, despite being out in the fresh air, carbon monoxide can build up to levels that can kill very quickly in enclosed spaces, such as tents and awnings. Strictly do not use BBQs in your tent or awning.

Vehicles

If you’re planning to bring something that’s not a car with you (a van, motorbike, jet ski or boat, for example), please check with the park before you book. Commercial vehicles or vehicles with signage on the side are not allowed and may be turned away with no refund given.

Electric Vehicles

We’re really happy to hear that some of our guests are using hybrid or electric cars to look after the environment; and we’re working hard to find suitable ways of supporting you with your charging your vehicles whilst staying with us. But for time being, please only use dedicated car charging facilities off-site. Electric cars are not permitted to be charged on site as our infrastructure is not designed for this and could cause damage to our equipment. A minimum charge of £50 will be issued to reset a supply which has been tripped by an electric car. Your nearest charging points is located: 0.8 miles away at Bakers Arms Pub and Restaurant.

WI-FI

We offer complimentary Wi-Fi across our park. Please be aware this service may not be the same as you are used to at home; and is only recommended for online browsing and not for streaming or video calls.

Personal belongings

If you are bringing anything valuable on holiday you should check it is adequately covered by your insurance. We cannot accept any liability for loss or damage to your belongings unless it is due to our negligence.

Dogs and other pets

If you are bringing your furry friend when you stay with us you agree to:
• Keep the dog on a short lead on the park at all times.
• Use the designated off lead exercise area.
• Clean up after your dog and dispose of waste in black dustbins.
• Do not leave your dog unattended at any time.

We have a selection of Romany Caravans, Shepherd Huts and Glamping Pods which are pet friendly. All other units are non-pet friendly. Please advise the team should you have any allergies to pets.

Certain breeds may not be accepted, and all breeds under the dangerous dog act are not accepted. We reserve the right to require that the owner removes their dog, or any other pet, from the Park if it is a nuisance or danger to other guests.

Photography and filming

We regularly take photos and videos for promotional purposes and will always ask your permission to share these if you are in the shot. Should you wish not to appear in any material at any time, please let our Reception team know on your arrival.

The use of drones is strictly prohibited.

Food Allergies

If you have a food allergy or dietary requirement, please speak to our team members before purchasing your food.

Smoking and Vaping

By law, there is a strict No Smoking policy in all our Amenity Blocks, Romany Caravans, Shepherds Huts, Glamping Pods. This includes E-Cigarettes. Cigarette disposal units are situated outside the reception office and amenity blocks. Anyone smoking or vaping in any of the units will automatically be charged £200 due to cleaning charges and loss of use.

Number of guests staying in our glamping units

Our glamping units are suitable for 2 adults and 2 children (up to 14 years old) due to the layout of the accommodation. If you require accommodation for 4 adults, you will need to book two units. Should any more than 2 adults arrive, we may turn you away without a refund.

Bed Linen

If you are staying in any of our Romary Caravans, Shepherd Huts or Glamping Pods, please ensure you bring all your bedding including duvets and pillows. We do not provide any bed linen, towels or tea towels. Please see our “what’s included in our glamping unit” via our FAQ section for more details.

Damage to accommodation

Following your departure, we will check the glamping unit and if it is found to be in a poor state through cleanliness or damage, we reserve the right to charge you additional fees to cover the cost of cleaning or repairs.

Naked Flames

Naked flames are not permitted in any of the glamping units. This includes, but is not limited to candles, lighters and matches. No flammable liquids or equipment is allowed into the glamping unit at any time.

Park Rules

Health and Safety

We take the wellbeing and safety of our guests very seriously and we ask that you comply with the following:
• The speed limit on the park is 5 mph.
• All vehicles must conform to the Road Traffic Act and have current tax, MOT and insurance.
• Guests are not allowed to bring lorries or other commercial vehicles on to the park. This includes towing vehicles.
• Car, caravans and awnings must be contained within the pitch reserved. Any units not adhering to our strict fire safety spacing rule will be asked to re-position the unit.
• Please make yourself aware of the nearest fire point.
• The park is responsible for the electrical system up to the socket on the hook-up point at the pitch. It is the responsibility of the camper to ensure that the plug, cable and associated sockets used to connect between the hook-up point and the camper’s unit is safe. The park will not accept any responsibility for any accident or loss arising from the use of unsuitable or unsafe electrical equipment connected to the parks hook up point.
• All cars and caravans, awnings, tents, etc which are placed in the vicinity of trees are at the sole risk of the owner, and the management cannot accept responsibility for damage caused by falling trees or parts therefrom.
• The management will not be held responsible for damage to guests’ property by fire, theft or injury to persons whilst on site.
• It is the responsibility of the camper to ensure gas appliances are safe and regularly maintained.
• Barbeques may be used provided they are raised above ground level. THE LIGHTING OF FIRES IS STRICTLY PROHIBITED, ANYONE BREAKING THIS RULE WILL BE ASKED TO LEAVE THE PARK. STRICTLY NO LOG BURNERS, FIRE BASKETS OR CHINESE LANTERNS.
• No cycling after dusk – and we suggest that all cycles are locked up when not in use.
• Children must be under the supervision of their parent/guardian on all areas of the park at all times. The pond area is strictly out of bounds to all non–accompanied children.
• No access to the children’s play area after dusk and before 8:30 am.
Our full Health and Safety Policy and Emergency Action Plan are available for inspection in Reception.

General
• Only breathable ground sheets are permitted on grassed areas. Applicable to caravan and motorhome awnings, not tents.
• Maximum power loading on electrical outlets is sufficient for lightning, TV, fridge, microwave oven and shaver but NOT standard domestic kettles.
• STRICTLY NO AWNING HEATERS.
• The use of generators is not permitted.
• Cars, caravans, boats must not be washed on site.
• Radios. TVs etc should be played at a volume that will not disturb others.
• All rubbish/re-cycling must be placed in the bins provided.
• Grey and chemical waste must be disposed of at the points provided and not allowed to enter the soakaways.
• Playground closed from dusk – 8.30am.
• Please, do not access any part of Lytchett Minster school grounds from any part of the Park including the pond and wooded area.
• It is regretted that no refunds can be given if guests depart prior to the end of the booked holiday.
• The information supplied will be stored on computer for administrative purposes. Under no circumstances will this information be provided to a third party. We may from time to time wish to send you news of special offers on our park, as long as we have your permission.
• Quiet hours are from 10.30pm until 8am. Please respect your fellow guests and keep noise to an absolute minimum.

Pitches
The size of your unit must be stipulated at the time of booking to ensure the allocated pitch is large enough. Should you subsequently alter your requirements we cannot guarantee to provide an appropriately sized pitch.

We are unable to guarantee a requested pitch, however we do our very best to accommodate your booking needs (any guarantees must be in writing by us.)

Please advise us if you are likely to arrive later than 5.00pm.

All pitches must be vacated by 11am on the day of your departure. You are requested not to arrive before 12 noon.

Every endeavour will be made to allocate guests the pitch of their choice, however, it must be clearly understood that acceptance of a booking is not conditional on the allocation of a particular pitch.

Complaints

In the unlikely event you are not satisfied with any aspect of your stay, please let the Reception or Management team know as soon as possible, so we are given the opportunity to resolve any concerns during your stay. If you still wish to pursue this following your departure; please write to us within 14 days of your departure. Please be aware claims may be reduced or rejected if we have not been given the opportunity to put matters right whilst on holiday with us.
